TERMS AND CONDITIONS
We kindly ask that you read these Terms and Conditions carefully before making a booking. By proceeding with a booking, you confirm your agreement to these Terms.
Your Booking
- The person making the booking must have the legal capacity and authority to enter into a binding contract.
- By making a booking, you enter into a contract on behalf of your school/college (the contracting party) and confirm that you have ensured compliance with these Terms by all delegates attending the course.
How To Book
You can make a booking through our website, over the telephone, or via email.
Booking Confirmation
- Once your booking is confirmed, it will be assigned a booking reference number.
- A confirmation email will be sent to you, including your booking reference number and a full VAT invoice addressed to your school/college Finance Team.
- It is your responsibility to check the confirmation email and notify us immediately if any details are incorrect.
- This confirmation email will also include a copy or link to our full Terms and Conditions, which you are deemed to have accepted upon making the booking.
Joining Instructions
- Joining instructions, including venue details (for in-person courses) or Zoom links (for online courses), will typically be issued directly to the delegate attending the course two to three weeks before the course date.
- For in-person events, we strongly advise against making any travel arrangements until you have received the joining instructions in writing via email.
If you do not receive your Joining Instructions, please contact our Events Team on 01625 532974, as details may have changed from those initially advertised on our website and in our published brochures.
Prices And Payment
Course Prices:
- The prices for courses are as advertised on our website and in published brochures.
- All prices are exclusive of VAT.
- Prices are subject to change without prior notice; however, any changes will not affect bookings that have already been confirmed.
Payment Terms:
- Full payment is required within 30 days of the invoice date or before the course date, whichever is earlier.
Cancellation Policy
Cancellation by Keynote Educational:

- If we cancel a course after final confirmation has been issued, we will offer either:
- A suitable alternative date, or
- A credit note to be used toward a future event.
- If neither option is suitable, and the cancellation is not due to a Force Majeure event, you may request a refund. Refund requests must be submitted by email to accounts@keynote.org.uk within 6 months of the cancellation date. Refund requests submitted after this period will not be considered.

Cancellation by the Customer:

- Cancellations must be notified by email to online@keynote.org.uk.
- Cancellation charges apply as follows:
- More than 3 weeks (15 working days) before the event: No charge.
- Within 3 weeks (15 working days) of the event: Full charge (total amount invoiced, including VAT).
- Failure to attend without prior cancellation will result in the full cost being payable.
Force Majeure Events:

- No refunds, including travel expenses, will be provided if you are unable to attend due to events beyond our control, including but not limited to:
- Civil disturbances, terrorist activity, industrial disputes, natural disasters, pandemics, health risks, extreme weather, transport disruptions, or presenter illness/injury.

Transferring Courses
- You may transfer from one course to another by requesting the transfer at least 3 weeks (15 working days) before the original course date. There will be no charge for such transfer.
- Transfers requested within 3 weeks (15 working days) of the course date or after Joining Instructions have been issued (whichever comes first) will incur a charge of £45 plus VAT. This fee will be invoiced to the person or school associated with the original booking, as outlined in the “Your Booking” section of these Terms.
Changes To Content
- While we aim to deliver courses as advertised, unforeseen circumstances may occasionally require changes.
- We reserve the right to amend course content or substitute course speakers at any time.
Complaints
- We value your feedback and aim to provide the highest standard of service. If you encounter any issues while attending a Keynote Educational course, please let our representative at the event know. They will do their best to assist you and resolve the matter promptly.
- If your concern remains unresolved, please send a written complaint to online@keynote.org.uk. Be sure to include your booking reference and a daytime contact number so we can address your concerns efficiently.
- To ensure we have sufficient time to investigate and resolve your complaint, please submit it within 28 days of the course date.
Our Liability
- Our liability for any losses resulting from a breach of this Contract is limited to the price of the booking, along with documented travel expense claims (if applicable).
- We are not liable for indirect losses arising as a consequence of the primary loss or damage, including but not limited to:
- Loss of income or revenue
- Loss of business, profits, or contracts
- Loss of anticipated savings
- Loss of data
- Wasted management, office, study, or teaching time
- This exclusion applies regardless of whether the losses are caused by tort (including negligence), breach of contract, or otherwise.
- However, these Terms do not exclude or limit liability for loss of or damage to tangible property resulting from our breach of contract, negligence, or default.
Conduct And Behaviour Policy
We are committed to creating a positive and professional environment for all attendees.
- Registration: Entry to events is by prior registration, and all delegates are required to confirm their attendance by signing in before the event begins.
- Respectful Behaviour: All attendees are expected to maintain respectful behaviour throughout the event. We reserve the right to ask any individual causing disruption to leave the event.
- Punctuality: To ensure the smooth running of the event, delegates must be seated before the start of each session. Late arrivals may be denied entry to avoid disruption to speakers and other attendees. Please note that no refunds will be issued in such circumstances.
